TIP OF THE MONTH: Retrieving an Email Already Sent

Imagine the scenario when you flippantly write an email (in anger, amusement or when tired) and then realise in horror that

  • You sent it in error to your boss
  • You sent it prematurely
  • You accidently addressed it to the wrong person
  • You replied to all in the mail, and this email will now go to the whole staff
  • You forgot to add the attachment promised

Gmail have recently brought out a feature to allow you to undo your sent mail in Gmail.

  1. Click the gear in the top right-hand side Gear Button
  2. Select Settings
  3. Scroll down to “Undo Send” and click Enable (usually a √ / tick)
  4. Set the cancellation period (the amount of time you have to decide whether you wish to unsend an email. You have between 10 and 30 seconds)
  5. Click Save Changes at the bottom of the page

If you use MS Outlook, this is the process:

  • Open the message you want to recall
  • Click on the top “file” tab
  • You then have the choice of recalling or resending the message

Recall Your Email

  • If you have waited longer than 10 seconds, the recipient will receive an email from you noting that you want to recall the email
  • You will have the choice of a) deleting unread copies of the message or b) deleting  the unread copy and replacing it with a new message.
